How We Saved a 7-Figure Brand 20+ Hours per Week with Automation
This brand was doing $3M/year in revenue with a team of five. On paper, that sounds efficient. In reality, two of those team members were spending most of their time on repetitive operational tasks that should have been automated years ago.
The bottlenecks were everywhere: manual order tagging in Shopify, copying data between spreadsheets, updating inventory counts across multiple sales channels, generating weekly reports, and sending tracking notifications.
We started by mapping every manual process and categorizing them: automate, simplify, or eliminate. Here's what we built:
Automated order tagging & routing. Using Shopify Flow and custom webhooks, we set up rules that automatically tag orders based on product type, order value, shipping destination, and customer segment. High-value orders get flagged for personal follow-up. International orders get routed to the correct fulfillment queue.
Real-time inventory sync. We connected their Shopify, Amazon, and wholesale channels through a central inventory hub. When a unit sells on any channel, counts update everywhere within 60 seconds, eliminating oversells and the manual reconciliation that followed.
Automated reporting. We replaced their manual weekly spreadsheet ritual with automated dashboards that pull data from Shopify, Klaviyo, and Google Analytics. The team now gets a Slack summary every Monday morning with key metrics, trends, and alerts.
The total time saved: 22 hours per week. That's more than half a full-time employee. Within three months, those freed-up hours contributed to a 15% increase in revenue through better marketing execution and customer service.
